Customers, households and the portal
The customer record, families and guardians, consents that remember who agreed to what, and the portal where customers book and pay for themselves.
The customer record
A customer is a person: name, ten-digit phone, email if they have one, date of birth if it matters. Everything they do — bookings, memberships, enrolments, invoices, payments — hangs off this record, so it is worth getting the phone right.
Two records for one person is how a membership ends up attached to the wrong one, so a duplicate phone number is refused rather than quietly merged. If a walk-in gives a number that is already on file, the desk shows you the existing person instead.
You do not need to import a list to begin. A walk-in becomes a customer with their first booking. If you have a spreadsheet of existing members, Settings has an importer, but nothing waits for it.
Households and guardians
Families are households. One member is the guardian — the parent who pays and signs. The guardian’s portal login sees the whole household: every child’s bookings, enrolments and invoices. Every other member sees only themselves. A teenager with their own login does not read a sibling’s medical declaration.
Consents
A waiver, a medical declaration, a photo permission: each is a consent, and consent is kept as history, not as a tick box. Every time someone agrees, a new row records who signed, when, and to which wording; the previous one is marked revoked. “Did they agree?” is always answerable with who, when and to what — which is the question that matters on the day it matters.
The customer portal
Players and parents have their own app, free — play.frontcourt.pro, where they sign up with Google or their email. Once linked to your club (by the email you have on file, or your Join link), they see the day’s availability, book a court, and see their bookings, packs, coaching reports and invoices there, alongside the games they split with friends. A parent approves a child’s account from their own. The older player sign-in at app.frontcourt.pro/portal keeps working for players you invited before.
To invite someone, open their record and choose Invite to portal. The link works once, for seven days, and lets them choose their own password. If they do not read email, copy the link and send it on WhatsApp — that is what the copy button is for.
